Accounts Payable Coordinator

Job Title: Accounts Payable Coordinator

FLSA Status: Hourly Non-Exempt

Position Summary: Facilitate the timely and accurate processing of all vendor payables, filing, assisting team members with accounts payable duties.

Job Duties:

Accounts Payable Processing:

  • Review all invoices to ensure proper coding and manager approval.
  • Check all invoice dollar amounts to ensure they agree with contracts and purchase orders.
  • Ensure the proper completion of lien releases and legal liability documentation.
  • Check all items to guard against double or incorrect payments and split payments into joint checks as needed.
  • Accurately input all accounts payable data into computer system.
  • Ensure invoices are processed and paid according to established timeframes.
  • Interact with vendors to resolve issues and concerns regarding invoices, payments and insurance.
  • Maintain vendor information files.

Additional Responsibilities:

  • Maintain organized files on all subcontractor/vendor billings, lien releases, preliminary notices and insurance certificates (if required).
  • Provide management with accurate reports when requested regarding subcontractor/vendor billing status, cost status, etc.
  • Assist with all other special projects and tasks as directed by management

Position Qualifications:

  • Pursuing a Bachelors degree in accounting or finance/business degree with significant accounting coursework or equivalent experience.
  • Prior experience in accounts payable preferred.
  • Proficiency in Excel mandatory.
  • Effective written and verbal communication skills required.
  • Detail-oriented and strong organizational skills.
