Administrative Assistant (Temporary Position)

General Administrative Duties:

  • Provide administrative support to Marketing, Escrow, People, Accounts Payable and Purchasing departments.
  • Duties are directed by the head of each department and may include:  
  • Maintaining department filing including scanning and electronic filing
  • Completing Purchase Orders
  • Invoice coding and approval management
  • Interfacing with Accounts Payable
  • Occasional preparation of correspondence, mail, travel arrangements, expense reports, and meeting schedules
  • Assist other disciplines with administrative duties as requested.

General Reception Duties and Responsibilities:

  • Provide back-up coverage to the Receptionist
  • Greet guests
  • Process mail, faxes, photocopies, FedEx, courier service and other communication.
  • Manage/Maintain office appearance and operations.
  • Manage/Maintain conference room schedule, conference calls, preparing conference for computer presentations.
  • Manage/Maintain kitchen supplies and appearance, stocking beverages, snacks, running dishwasher and refrigerator
  • Assist with processing Purchase Orders for G&A.

Position Qualifications


  • High School diploma or equivalent required

Experience & Skills

  • Proficiency in handling multiple tasks and priorities.
  • Ability to work cooperatively with a variety of personality types.
  • Excellent written and verbal communication skills.
  • Must possess superior secretarial and organizational skills.
  • Ability to work with minimal supervision.
  • Proficient in Microsoft suite package.
