Position Job Title: Project Management Coordinator

FLSA Status: Hourly Non-Exempt

Position Summary   
This position provides support to the Project Management department with agency coordination and permitting of consultant plans, Department of Real Estate coordination, preparing and maintaining department efficiencies and general administrative duties.


Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Submittal of check requests and tracking with Finance for payment of agency fees
  • Submittal of bond requests, release letters and ensuring accuracy of report information
  • Support Project Managers with Department of Real Estate (DRE) submissions, coordination with Legal and SRP’s, routing of community documents for signature, distribution of Public Reports to Sales and maintenance of DRE files
  • Support Project Managers with submittal of documents to 3rd party reviewer for Fannie Mae & Freddie Mac condo approval
  • Support Project Managers with distribution and management of ShareFile Plan Sharing system for Trades and Construction
  • Assist in the management of contracts and purchase orders with the Division Contract Administrators ensuring timely completion and proper filing in Project files
  • Maintain and track Department files electronic and physical files
  • Create meeting notice and coordinate schedules
  • Generate and maintain various tracking reports, action items, spreadsheets
  • Generate and maintain meeting notes and action items
  • Compose and prepare transmittals and memorandum
  • Department Notary Public
Position Qualifications
  • High school diploma or equivalent required; College degree preferred.
  • A minimum of two years' experience in a similar professional environment assisting a senior level Executive; Homebuilding industry experience preferred
  • Newstar Software experience a plus
  • Notary license a plus
  • Proficiency in handling multiple tasks and priorities
  • Ability to work in a fast paced, deadline-oriented environment
  • Ability to work with minimal supervision
  • Ability to work cooperatively with a variety of personality types
  • Excellent written and verbal communication skills
  • Computer literate with proficiency in Outlook, Word, Excel, and PowerPoint
  • Ability to perform the essential functions of the job and be a team player with a strong work ethic


Base Salary: The expected base salary range for this position is between $70,000 to $78,000 per year, depending on experience and skillset. Base Salary is paid bi-weekly, every other Friday. Additionally, this position is eligible for an annual bonus based on divisional and individual performance.

Requires the ability to bend, climb, lift 1-15 pounds, reach, see, stand, sit, hear, type and talk. This job is located in a standard office environment.  Noise levels are typically low to moderate.
