Position Job Title: Project Management Coordinator

FLSA Status: Hourly Non-Exempt

Position Summary   
This position provides support to the Land Development and Project Management department with agency coordination, permitting and processing of consultant plans and general administrative duties.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Support Project Managers in obtaining agency approval of engineering, landscape architecture, architectural plans and other required plans
  • Provide coordination and preparation among multiple consultants for plan submittal to appropriate agencies
  • Physical submittal and retrieval of plans between appropriate agencies
  • Support Project Managers with the maintenance of Project Schedules in Microsoft Project
  • Provide various assistance to Project Management Team as needed
  • Interface with Finance, Marketing & Operations on project issues
  • Monitoring of plan checks and having dialog with agencies regarding questions or comments to facilitate efficient coordination between Plan Checker and Consultant(s)
  • Calculation of Fees for Plan Check and Inspection
  • Submittal of check request and collaboration with Accounting in obtaining Plan Check and Inspection Fee amounts while ensuring proper cost coding per the approved budget
  • Coordinate consultants’ Scope of Work
  • Enter and manage contracts and purchase orders within contracting software system
  • Generate and maintain all administrative and project files
  • Maintain and track Department files electronic and physical files
  • Provide invoice approval and coding
  • Create meeting notice and coordinate schedules
  • Create Check Request and follow-up with Accounting Department
  • Create Purchase Order and Accounting System Tracking
  • Generate and maintain various tracking report, action items, spreadsheets
  • Generate and maintain meeting notes and action items
  • Compose and prepare transmittals and memorandum
Position Qualifications
  • High school diploma or equivalent required; College degree preferred.
  • A minimum of two years experience in a similar professional environment assisting a senior level Executive; Homebuilding industry experience preferred
  • Newstar Software experience a plus
  • Proficiency in handling multiple tasks and priorities
  • Ability to work in a fast paced, deadline oriented environment
  • Ability to work with minimal supervision
  • Ability to work cooperatively with a variety of personality types
  • Excellent written and verbal communication skills
  • Computer literate with proficiency in Outlook, Word, Excel, Microsoft Project and PowerPoint
  • Ability to perform the essential functions of the job and be a team player with a strong work ethic

Base Salary: The expected base salary range for this position is between $70,000 to $78,000 per year, depending on experience and skillset. Base Salary is paid bi-weekly, every other Friday. Additionally, this position is eligible for an annual bonus based on divisional and individual performance.
